West Brisbane Falcons: Committee Position Descriptions
President
At the operational level, the President should:
- chair committee meetings, ensuring efficient and effective meetings
- be informed of all activities involving the organisation
- oversee and ensure the organisation of regular club events (Sign On Day, Competition Nominations, Trophy Day)
- be aware of and plan for future direction in accordance with the wishes of the members
- ensure that planning and budgeting for the future is carried out
- maintain awareness of financial position, take appropriate action to ensure financial position remains strong, and apply for funding on behalf of the club as appropriate.
- have a good working knowledge of committee constitution, rules and duties of the office holders
- maintain a positive working relationship with all key stake holders within the local basketball community including other Club Presidents, BBI (Brisbane Basketball Inc) and BBRA (Brisbane Basketball Referees Association)
- represent the committee in any other forums as deemed appropriate by the committee including any Club Delegates meetings.
Weekly Commitment: 2-4 Hours
Vice President
At the operational level, the Vice President should:
- attend committee meetings
- be aware of the operational activities and future direction of the club
- stand in for the President when required.
- act as a ‘sounding board’ for the other committee and club members
- champion specific projects as agreed
Weekly Commitment: 1 hour
Secretary
The secretary’s tasks are:
- organise and attend committee meetings
- coordinate AGM
- prepare agendas, ensure minutes are distributed, for committee meetings and AGM
- receive and disseminate correspondence to and from the club.
- administer the Blue Card registration of all club volunteers
- file all current documentation (excluding financial documentation which is the responsibility of the Treasurer) and oversee the maintenance of the archive
Weekly Commitment: 1-2 Hours
Registrar
The responsibilities of the Registrar are:
- set up fees and registration for Main Season, Summer Season and Annual Senior Sign on
- coordinate registration activities for Sign on day
- quality control of registration records of all club members
- liaise with Brisbane Basketball Inc, Basketball Queensland and Sporting Pulse regarding registration activities and use of Sporting Pulse registration package
Weekly Commitment: The role does not require a weekly commitment. Instead it will require three periods of intense activity around setting up registrations each year, annual sign on day and the commencement of Summer Season / DTP
Coaching Coordinator
The responsibilities of the Coaching Coordinator are:
- establish and coordinate team selection, grading activities, and team nominations across the Junior Club
- establish and Coordinate Managers and Coaches for all Junior teams
- arrange appropriate training locations, days and times
- provide support for volunteer coaches
- liaise with other committee members, players and parents regularly
- ensure current qualifications through the National Coaches Accreditation Scheme
- establish a climate that enhances feelings of self-confidence and self-esteem within the participants, promoting enjoyment of the sport for both coaches and athletes
- foster team spirit amongst all players and encourage participation in a sporting manner
- encourage maximum participation
Weekly Commitment: 4 Hours
(Note: In addition, at the start of the season, there will be a period of intense activity around grading, establishing teams, identifying coaches and managers, and nominating teams).
Seniors Coordinator
The responsibilities of the Seniors Coordinator are:
- establish and coordinate team selection, grading activities, and team nominations across the Senior Club
- establish and Coordinate Managers and Coaches for all Senior teams
- as necessary arrange appropriate training locations, day and times
- liaise with other committee members and players regularly
- foster team spirit amongst all players and encourage them to participate in a sporting manner
- encourage maximum participation
Weekly Commitment: 1-2 Hours
(Note: In addition at the start of the season there will be a period of intense activity around grading, establishing teams, identifying coaches and managers, and nominating teams).
Web/Social Media Administrator
The responsibilities of the Web / Social Media Administrator are:
- manage email correspondence with club at large
- coordinate communication through web page, Facebook and electronic mailouts
- maintain webpage with current information
- maintain Facebook to provide active participation
- quality control to ensure Social Media policy is adhered to, particularly with respect to on-line safety and privacy
Weekly Commitment: 1-2 Hours
Property / Merchandise Officer
The responsibilities of the Property Officer/Merchandise Officer are:
- keeping an accurate record of all club properties together with their current location
- provide such record to the secretary for inclusion in the Annual General Meeting financial statement
- ordering of Uniform sets as required
- coordination of club sign on gift purchase and delivery
- management of club merchandise ordering, purchase/sale and delivery
Weekly Commitment: 1-2 Hours
General Committee Members
- volunteering at Club events including Sign on day and Trophy Day
- taking on specific tasks such as auditing of First Aid Kits, purchasing of equipment or rostering for merchandise delivery at training
